Role summary

The role of the Bid Content Manager is to support and improve the Bid Service function within Applied Intelligence, the Cyber Security division of BAE Systems. The primary objectives of the role are to maintain and improve the structure, content and relevance of the material within the Bid Portal, whilst ensuring compliance to processes and configuration management. The Content Manager role sits within the Bid Service function working closely with a team of Bid Managers and Coordinators.

What you’ll be doing

The responsibilities and accountabilities associated with this role are:

  • Facilitate the management, refresh, storage and location of Content within the Bid Portal, as well as Cloud based response software
  • Support the Bid Service, Account Teams and Sales Teams in generating and producing responses based on pre-written content, as well as identifying relevant use cases for tailoring on Opportunities
  • Drive improvements to the Content Management process
  • Act as a source of best practice guidance and knowledge to onboard and train the Bid Service as well as the Sales and Pre-Sales teams about the Bid Portal Content
  • Deliver metrics reporting and analysis including data quality management metrics
  • Undertake administrative and management support activities for the Bid Service team
  • Contribute to a culture of sales excellence across the Sales and BD Practice.

Content Management:

  • Drive a systematic improvement in the Bid Portal and Knowledge repository and related systems to increase productivity and efficiency in bidding.
  • Designing and owning the architecture for the overall knowledge base implementation.
  • Reviewing the structure of the knowledge base on a regular basis to ensure that it reflects the needs of the business.
  • Manage / Generate templates for Case Studies and other relevant core Bid Portal Content.
  • Conduct content audits to identify gaps and redundancies in the Bid Portal content.
  • Create and implement content schedules for people to produce or update content.
  • Produce maps and visualisations of the site to help staff understand the structure and function of the Bid Portal.
  • Scheduling regular reviews of the knowledge base to identify areas that need to be updated / expanded.
  • Layout, structure, organize, and systematise large bodies of information in a logical coherent way
  • Survey users and hold focus groups to learn about how they view the Bid Portal and what, if any, improvements are required.

Content Production:

  • Write new, or edit existing material within the Bid Portal for use in new Bid Responses
  • Generate or edit images for Bid and Presentation Content.
  • Work with Marketing and Brand to maintain the ‘Style Guides’. Working with the Creative team as required and maintaining a comprehensive library of images.
  • Ability to engage with stakeholders to agree objectives, plan ahead, build a pipeline of compelling content and create content to engage and excite.

Content Compliance:

  • Ensure that material on the Bid Portal is managed in line with the company’s CMS, as well as corporate processes and policies.
  • Motivate and manage SMEs to ensure commitment to updating content on a pre-agreed cycle.

Content Management Knowledge and Training:

  • Act as a Subject Matter Expert for processes and systems for Content Management.
  • Accountable for communication and attendance of Bid Service meetings to provide updates on relevant Content Management information and developments.
  • Train staff in writing and producing content for the bid portal, using the standard templates and format.
  • Use centrally available documentation and training to ensure new starters are familiar with the Bid Portal and its content
  • Provide support and education for the sales team on the Bid Portal and pre-existing Sales Material.

Content Administration:

  • Provide data and information on relevant Content information for reporting purposes.

What we’re looking for

The qualifications and experience required for this role include:

  • Experience with SharePoint and other Cloud based response, content / knowledge management systems
  • Ability to handle multiple tasks simultaneously, manage conflicting priorities and to complete assignments under aggressive time constraints independently
  • Demonstrated ability to be productive with minimal supervision. Must be results oriented and able to move forward without complete information
  • Ability to work effectively with a diverse audiences, management levels, cultures, and personalities
  • Excellent communications and presentation skills.
  • Experience of of bid management applications such as RFPIO, MS Office, Word, and PowerPoint
